OPEN POSITIONS

IBO Administrator

Roles & Responsibilities:

This is an independent contractor position requiring a W-9 and invoice submissions in order to be

compensated.


The position will require 5-10 hours on average per week (variable) at an hourly rate approved by the

President and Treasurer. Compensation will range from $25-$30/hour based on experience.

Compensation for larger projects outside of the normal scope of work will be processed on retainer with

itemizations and projections for reimbursement.


The IBO Administrator will report to the President and work closely with the other elected officers.


Overall Organization Operations

Management of:

Email including:

■ Reviewing/replying/archiving emails sent to info@ibonewyork.org

■ Forwarding emails as appropriate to members of the executive board

■ Addition and deletion of other organization email addresses as needed

■ Zoom links for all virtual meetings

Google Drive, ensuring all documents are updated and archived accurately

Dropbox, ensuring all event photos are archived accurately


Partnering With Elected Officers

President, First VP and Second VP

○ Assist as requested in organization, communication and executive planning

○ Recommend opportunities and enhancements for the organization

Secretary

○ File and distribute meeting minutes.

Treasurer

○ Review P&L and recommend opportunities for proper management of expenses and

income

○ Track open invoices from members, sponsors and vendors

Communications Officer

○ Support weekly and monthly communications by forwarding details to be included and

assisting with process as needed

○ Support in publishing and maintenance of events on IBO website

○ Create and distribute follow-up emails for all meetings - virtual and in-person

Membership Officer

○ Maintain member database and recommend opportunities such as member drives,

renewal campaigns and more

○ Assist with tracking attendance at virtual and in-person meetings when present

Arts & Culture Officer

○ Support as needed


Website & Graphic Design

● Monitor IBO website for issues and omissions

● Coordinate with IT vendor to fix problems, train new members.

● Create and submit congratulatory/sponsor ads as requested by executive board


Policy and Procedure Manual

● Update as Board directs


Special Events & Initiatives

● J-1

○ Support Sean O’Dowd / Advisory Board Member

● St. Patrick’s Day (on retainer)

○ Coordinate march and afterparty with executive board, advisory board and volunteers

● Ad Hoc Projects on Retainer (discretionary, project coordination scope TBD in each case)
